Job Overview
We are seeking a highly organized and proactive Executive Assistant to support our CEO in a fast-paced environment. The ideal candidate will possess exceptional administrative skills, a keen attention to detail, and the ability to manage multiple tasks efficiently. This role requires a strong background in office management, project coordination, and executive administrative support. The Executive Assistant will play a critical role in ensuring smooth operations and effective communication within the organization.
Duties
Provide comprehensive executive administrative support to the CEO, including calendar management and scheduling appointments.
Coordinate and plan events and meetings for the CEO and other executives as needed.
Manage correspondence, including emails and phone calls, demonstrating excellent phone etiquette.
Maintain organized filing systems, both electronic and paper-based, ensuring easy access to important documents.
Assist with bookkeeping tasks using QuickBooks, including invoicing and expense tracking.
Perform data entry and transcription duties with high accuracy.
Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for document creation and management.
Proficiency with Docusign and contract administration is a requirement.
Conduct proofreading of documents to ensure clarity and professionalism before distribution.
Serve as a point of contact for internal teams and external stakeholders, providing exceptional customer service.
Support project coordination efforts by tracking deadlines, deliverables, and progress updates.
Qualifications
Experience
Proven experience in an executive assistant or similar administrative role is required.
Familiarity with office management practices and procedures is essential.
Experience with personal assistant duties is a plus.
Strong typing skills with proficiency in data entry tasks.
Knowledge of multi-line phone systems and Microsoft Outlook / Google Calendar is preferred.
Familiarity with DocuSign for document management is required.
Excellent organizational skills with the ability to prioritize tasks effectively in a dynamic environment.
Strong computer literacy with experience in various software applications related to office functions.
