About the Role 

Job Overview

We are seeking a highly organized and proactive Executive Assistant to support our CEO in a fast-paced environment. The ideal candidate will possess exceptional administrative skills, a keen attention to detail, and the ability to manage multiple tasks efficiently. This role requires a strong background in office management, project coordination, and executive administrative support. The Executive Assistant will play a critical role in ensuring smooth operations and effective communication within the organization.

Duties

  • Provide comprehensive executive administrative support to the CEO, including calendar management and scheduling appointments.

  • Coordinate and plan events and meetings for the CEO and other executives as needed.

  • Manage correspondence, including emails and phone calls, demonstrating excellent phone etiquette.

  • Maintain organized filing systems, both electronic and paper-based, ensuring easy access to important documents.

  • Assist with bookkeeping tasks using QuickBooks, including invoicing and expense tracking.

  • Perform data entry and transcription duties with high accuracy.

  • Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for document creation and management.

  • Proficiency with Docusign and contract administration is a requirement.

  • Conduct proofreading of documents to ensure clarity and professionalism before distribution.

  • Serve as a point of contact for internal teams and external stakeholders, providing exceptional customer service.

  • Support project coordination efforts by tracking deadlines, deliverables, and progress updates.

Qualifications 

Experience

  • Proven experience in an executive assistant or similar administrative role is required.

  • Familiarity with office management practices and procedures is essential.

  • Experience with personal assistant duties is a plus.

  • Strong typing skills with proficiency in data entry tasks.

  • Knowledge of multi-line phone systems and Microsoft Outlook / Google Calendar is preferred.

  • Familiarity with DocuSign for document management is required.

  • Excellent organizational skills with the ability to prioritize tasks effectively in a dynamic environment.

  • Strong computer literacy with experience in various software applications related to office functions. About the Company 

Job Type: Full-time

Pay: $45,000.00 - $55,000.00 per year
