About the Role: We are seeking a highly organized and proactive Office Manager to oversee daily administrative operations and ensure the smooth functioning of our Vascular Access Center. The ideal candidate will bring strong leadership, communication, and problem-solving skills, with a solid foundation in healthcare operations, revenue cycle processes, and patient-centered service.
Key Responsibilities:
Supervise front desk and administrative staff; recruit, onboard, coach, and conduct performance evaluations.
Develop and implement standard operating procedures (SOPs) for daily operations, scheduling, intake, billing, and documentation.
Promote a patient-centered culture and ensure a positive patient experience.
Manage patient access, optimize appointment scheduling and procedure logistics, reduce wait times, and coordinate referrals.
Communicate clearly with patients, families, and clinical teams regarding pre-visit instructions, procedures, and post-care follow-up.
Oversee patient intake, insurance verification, pre-authorizations, coding accuracy, charge capture, claims submission, and denial management.
Provide patient financial counseling, assist with payment plans, and manage co-pays and deposits.
Monitor key financial metrics (days in accounts receivable, denial rate, net collection rate) and assist with budgeting and financial reporting.
Ensure compliance with HIPAA, OSHA, CLIA and other governing regulations.
Maintain center policies, SOPs, and staff training; coordinate internal and external audits.
Lead quality improvement initiatives; monitor metrics (patient satisfaction, throughput, no-show rates, cancellation rates) and implement corrective actions.
Oversee EMR/EHR utilization, chart completion, order sets, and documentation standards; train staff on systems and workflows.
Ensure accurate patient records, coding, and billing data; safeguard data privacy and security.
Manage inventory, equipment maintenance, and vendor contracts; coordinate repairs and replacements.
Maintain a safe, clean, and organized clinical environment.
Liaise with physicians, nurses, technologists, and centralized scheduling and billing teams to optimize clinic operations and throughput.
Support clinical recruitment, credentialing, and staff development as needed.
Lead onboarding, training, performance management, and employee engagement initiatives.
Ensure compliance with staff scheduling, timekeeping, and regulatory requirements.
Assist with referral development, patient education initiatives, marketing and coordination with external partners as appropriate.
Qualifications
Qualifications
Education: Bachelor’s degree in Business Administration, Healthcare Administration, or related field (required); or equivalent healthcare operations experience.
Experience: Minimum of 3 years of office management or administrative leadership experience; healthcare setting experience strongly preferred.
Healthcare knowledge: Working knowledge of insurance processes, eligibility verification, pre-authorizations, claims, and documentation (required).
Skills: Excellent organizational, multitasking, and problem-solving abilities; strong written and verbal communication; customer-service oriented.
Technology: Proficiency with Microsoft Office Suite; experience with EMR/EHR systems and office management software.
Personal attributes: Ability to work independently and collaboratively in a fast-paced healthcare environment.
Preferred Qualifications
Familiarity with metrics-based management and process improvement (e.g., Lean or Six Sigma basics).
Certifications such as Certified Medical Manager (CMM) or Practice Management Certification (optional but advantageous).
Work Environment and Schedule
Setting: Outpatient Vascular Access Center; fast-paced but collaborative.
Schedule: Full-time.
